How to Order Merchandise for your Banquet
Ordering merchandise for your banquet should be a no-brainer, right? Not always. Keep reading for information and tips on how to ensure the merchandise order and delivery process for your next big game banquet is smooth and issue-free.
Place all of your orders at once.
The RMEF ordering system works best when you place all your orders at once. You can certainly order merchandise at different times, but the system is most efficient when you place all of your orders at one time.
Inspect merchandise as soon as it arrives.
Merchandise should be inspected as soon as it is delivered to your door—not the day before your event! This allows time to deal with damages or incorrect shipments. If you receive an item that is damaged or incorrect, contact your regional director immediately so he or she can coordinate with RMEF headquarters and/or the vendor to resolve the issue.
Take final inventory of your merchandise three weeks prior to your event.
If you placed your vendor direct merchandise order 10 weeks prior to the event date, all merchandise should be received four weeks prior to the event date. Take an inventory at three weeks out to ensure you have all your products. Notify your regional director of any missing items so RMEF headquarters can follow-up with vendors, get tracking information, etc. Do not contact the vendor yourself. The vendor will need information that only a regional director or headquarters staff can provide.
Inspect firearms as soon as they arrive.
Firearms should be inspected as soon as they arrive at the local FFL (Federal Firearms License) dealer. If a firearm arrives damaged, contact your regional director immediately to coordinate a replacement. If it is inconvenient to inspect firearms as they arrive, please ensure they are inspected no later than two weeks before your event. This will allow enough time for the situation to be resolved.
Label your firearm boxes at the time of inspection.
Label the gun boxes with the intended use and placement at your event. This will make distribution and set up much easier when the time comes. You will not have to check each box end for firearm make, model, caliber and serial number for proper placement.
Remember, supplemental and discontinued merchandise is limited.
Though it might be listed on an order form, supplemental and discontinued merchandise is available on a first come, first serve basis. If you see merchandise on these forms you would like for your event, it is in your best interest to work with your regional director to place your order immediately, as quantities may run out.
Keep the following merchandise and firearm ordering timelines in mind:
Vendor Direct Merchandise
Vendor direct merchandise is drop-shipped from the vendor to the merchandise chair.
Place your order in a timely manner. To receive the merchandise four weeks prior to the event date while respecting the vendors’ six-week lead time, orders need to be submitted to RMEF headquarters at least 10 weeks prior to the event date. Orders must be submitted to your regional director.
National & Supplemental Merchandise
Includes national merchandise (tablecloths, writing pens, RMEF calendars, elk antler crowns, etc.), supplemental merchandise and discontinued merchandise. Supplemental merchandise includes special offers and items that are not featured in the banquet catalog. This merchandise is shipped from RMEF headquarters to the chapter’s merchandise chair or as directed by the regional director. Orders must be submitted to your regional director.
Place your order no later than 6 weeks prior to your event. Orders will be processed by RMEF headquarters and shipped within two weeks of receipt. If headquarters has to accommodate a late or rush order, it will impact other orders in the system, and ultimately other events. Please respect your peers and get your orders in to your regional director in a timely manner.
Firearms are drop-shipped direct from Davidson’s, a leading distributor located in Prescott, Arizona, to the chapter’s local FFL dealer. Orders must be submitted to your regional director for approval.
Place your order no later than four weeks prior to your event. Orders will be processed within five business days based on the date of receipt by RMEF headquarters. Davidson’s will ship the order out either the day they receive it from headquarters or the next day.
RMEF National Firearms
Firearms are shipped direct from RMEF headquarters to the chapter’s local FFL dealer.
Place your order no later than four weeks prior to your event. Orders will be processed and shipped within five business days based on the date of receipt by RMEF headquarters. Handguns will be shipped overnight due to ATF regulations. Orders must be submitted to your regional director for approval.
